This page explains what Flow State Review collects when you use flowstatereview.com, why, and what you can do about it. We've tried to keep it short and plain.

The short version

You can use the whole site without an account.
When you send a Plan Your Adventure inquiry, a message or a Work With Us enquiry, we use your details only to reply and help with that request. Notifications go to our inbox at contact@flowstatereview.com.
We don't share your details with an operator unless you ask us to.
We email you trip ideas and updates only if you tick the box to agree, and you can unsubscribe at any time.
We don't sell or rent your personal information, and we don't use advertising trackers.
Our website and database providers may store or process your information outside Canada.

What we collect, and when

1. When you send us an inquiry or a message

Plan Your Adventure inquiries (/plan and the Plan Your Adventure buttons on experience, resort and destination pages). We collect what you're planning, your dates, group size, experience level, preferences, your name, email, optional phone number and any notes. We also keep a record of the consent you gave and when. We save the inquiry and send a notification to contact@flowstatereview.com so we can reply. We also email you a confirmation. A Plan Your Adventure inquiry is not a booking. We don't share your details with any operator unless you ask us to.
Contact form (/contact) and "Suggest a correction". We collect your name, email, topic and message. We send the message to contact@flowstatereview.com so we can reply. Corrections are saved so an editor can review them.
Work With Us form (/partners, for businesses). We collect your name, company or organization, role, email, optional phone and website, business type and what you tell us about the project. We save the enquiry and send it to contact@flowstatereview.com so we can reply.
Shop enquiries and appointment requests on a shop's page: your name, email, optional phone number, whether you asked for a callback, and your message.

We use the details from any of these forms only to deal with that request.

2. When you create a free profile or sign in

Your email address, so we can email you a one-time sign-in link. There is no password.
Where you signed up from (for example, the page you were on).
What you keep in your profile, such as saved items from the Gear Guide archive, so they're available on your phone and laptop.

Email updates

On the Plan Your Adventure form and the sign-in page, you can choose to receive "occasional Flow State Review trip ideas and updates". The box is unticked unless you tick it. We email you updates only if you agree, and each one has an unsubscribe link you can use at any time. We keep a record of when you agreed and when you unsubscribe.

3. How the site is used (usage events)

We keep our own log of simple events, so we can see which features help people and fix what doesn't. Examples: a page or filter being used, a Plan Your Adventure inquiry being sent, a sign-in link being sent, and a click to an outside website such as an operator, resort, pass seller, shop or hotel.

For searches, we record only that a search was made, not what you typed.
Before an event is logged, we remove anything labelled as a name, email, phone number or message.
We don't use third-party advertising or analytics trackers at the moment. If we add a privacy-focused analytics tool later, we'll update this page first.

Cookies and similar storage

We don't use advertising cookies.
Our hosting and security providers set small technical cookies so the site loads and stays protected from automated abuse (for example Cloudflare's bot-protection cookie).
Your saved gear, Gear Profile answers and sign-in session are kept in your browser's local storage, as described above.

Links to other websites

Shop, retailer, resort, pass, operator and hotel links take you to their own websites. Bookings, purchases, prices and availability are handled there, under their own privacy policies. Flow State Review doesn't take bookings or payments.

Who helps us run the site

We use service providers to host the site and database, handle sign-in, send email and protect the site. They process information only to provide those services.

Where your information is stored

Your information is hosted with our website and database providers. They may store or process it outside Canada, where it can be subject to the laws of that country. They handle it only to provide their services to us.

How we use information

To reply to Plan Your Adventure inquiries, messages, Work With Us enquiries and corrections.
To send sign-in links.
To send occasional Flow State Review trip ideas and updates, only if you opted in.
To run the tools you use, including saved items in the Gear Guide archive.
To understand which parts of the site are useful and to fix problems.

We don't sell or rent your personal information. Your email address and profile never affect what we publish or how results are ordered.

How long we keep it

Plan Your Adventure inquiries, contact messages and Work With Us enquiries: kept for up to 24 months after our last contact with you, then deleted.
Email update consent: kept while you're subscribed. After you unsubscribe, we keep a record of the consent and the unsubscribe for 24 months and stop emailing you.
Free profiles: kept until you ask us to delete them.
Usage events: kept for up to 24 months. They don't include names, email addresses, phone numbers or messages.
Saved on your device: stays in your browser until you remove it or clear your browser's site data.

You can ask us to delete your information sooner (see "Your choices").

Your choices

Access, correction and deletion: email contact@flowstatereview.com to ask for a copy of the personal information we hold about you, or to have it corrected or deleted. We'll reply by email.
Email updates: use the unsubscribe link in any update email, or email contact@flowstatereview.com.
Saved on this device: remove items from your saved page, or clear your browser's site data for flowstatereview.com.

Gear Guide (archive)

Our earlier Gear Guide is still online as an archive. If you use its tools without an account, the items you save and your Gear Profile answers (for example height, weight, boot size, ability and preferred terrain) are stored in your browser's local storage on your device. They aren't sent to us. If you're signed in, they're stored with your profile.

Changes to this page

If we change how we handle information, we'll update this page and the date at the top.
